Purchasing Coordinator

Reports To:Regional Administration Manager

Objective:To enable excellent customer service through ensuring the timely arrival of inventory and supplies; purchase all goods at the best available price point; to facilitate required equipment returns and exchanges; and to ensure no purchases lead to excess waste or dead inventory.

Summary of Position:

The Purchasing Coordinator is responsible for buying all equipment and supplies for upcoming jobs, maintaining adequate inventory levels for stocked goods & supplies, and coordinates required returns & exchanges with the supplier. The Purchasing Manager will also recommend products to the design team based on value and functionality.

Duties & Responsibilities:

  • Develop a purchasing schedule and lead times for each product
  • Coordinate with supplier, project schedule, and project manager to ensure product arrives on time
  • Track all incoming shipments to ensure timely arrival
  • Negotiate terms and quantity discounts with vendors to yield better profitability while avoiding excess loss through wasteful purchasing or dead inventory
  • Communicate any out of stock or other delays to sales and & PM in a time sensitive manner
  • Manage and utilize open bill credits with suppliers
  • Track distributor rebates and expenses to maintain the best programs
  • Coordinate with Administration/Accounting regarding vendor terms and payments
  • Coordinate with Warehouse Manager on order arrivals & accuracy
  • Inform Marketing Manager of any vendors funds for advertising or business development
  • Partner with Sales Director and GM to manage showroom product
  • Assist Warehouse Manager with quarterly inventory
  • Marry vendor orders & item receipts to bills to verify accuracy & pricing
  • Stay up to date on current pricing & availability of product and technology
  • Maintain integrity of databases for suppliers, inventory items, and pricing
  • Manage returns required, advance replacements, and vendor credits for returns & exchanges
  • Occasional travel as appropriate
  • Provide training or communication to disseminate pertinent information as required
  • Fiscal responsibility for all assets & property assigned
  • Customer service, including the ability to work with high profile and high demand customers
  • Guardianship and preservation of client confidentiality and network/home security
  • Adherence to state and federal laws, including adherence to traffic laws

Qualifications:

The Purchasing Coordinator needs to well versed in products in the different categories of the custom audio video industry. The position requires the ability to work with multiple vendors and make decisions based on company needs. Occasionally, the PC will attend vendor trainings. Must possess an ability to learn our most commonly utilized parts as well as be able to identify most of equipment utilized by the technicians. Basic computer skills with the ability to become competent in-house job management software. The ability to manage time wisely while unsupervised is an advantage.

Salary:

$25-30/hour based on individual qualifications

Additional Requirements:

  • Occasional travel
  • Ability to compare specifications and differentiate products in the A.V. industry.
  • Ability to organize large projects with several hundred pieces
  • Attention to detail
  • May require the ability to lift and carry 60lbs
