Executive Assistant/Office Manager

Reporting to: General Manager with supporting responsibilities of other on-site leadership

Summary of the Position: This is the individual who loves keeping everyone on the bus and helping to drive it forward. The Executive Assistant supports the General Manager and other on-site leadership with general day to day administrative operations. He/she is responsible for communicating location wide announcements, making sure the office is stocked with necessary supplies, being the champion of fun and inclusive on-site celebrations, and proactively finding ways to support the team.

Essential Functions:

  • Provide direct administrative support to the leadership team
  • Assist with answering phones and facilitating solutions for our clients
  • Ensure effective use of General Manager’s time by proactively managing scheduled meetings and team priorities
  • Confirm appointments with clients and conduct follow up
  • Maintain adequate supplies and food levels in the office kitchen
  • Order office supplies as needed while remaining fiscally responsible
  • Draft and send mass communications to the team
  • Create ad hoc reports
  • Organize team events such as month birthday celebrations
  • Become a utility player with entry level knowledge of all areas of the business, enable this position to flex into various roles to provide support during the ebb and flows of business

Education and Experience:

  • Minimum High School Diploma or GED
  • 2+ years of experience in a support role
  • Proficient in Microsoft Office, specifically Outlook, Excel, Word, PowerPoint
  • Experience using mail merge and creating reports, a plus

Skills and Competencies:

  • Proactive with an ability to stay one step ahead of long-term and daily priorities
  • Ability to anticipate needs and manage ever changing priorities and deadlines
  • Highly trustworthy in handling confidential information
  • Second-to-none organizational skills and attention to detail
  • Exceptional communication skills – written, verbal, in person and over the phone
  • Ability to work independently and maintain self-motivation to fill time with value adding tasks
  • Ability to maintain professional composure
  • Willingness to learn and receive feedback

This job operates in an office environment.

Job Type: Full-time

Pay: $50,000.00 - $60,000.00 per year

Schedule:

  • 8 hour shift
